<p><strong>Support Services Administration Officer</strong></p><p><strong>Location:</strong> Santa Clara, CA</p><p><strong>Compensation:</strong> $200,000 - $300,000 annually</p><p><strong>Shift:</strong> Monday – Friday, 8:00 AM – 5:00 PM</p><p><br></p><p><strong>Job Summary</strong></p><p>The Support Services Administration Officer (Sr. Director level) directs, oversees, and controls operational activities for small- to medium-sized medical center service areas (facilities under 300 licensed beds or mid-sized square footage) within a matrixed shared service organization. This role is responsible for the reliable, cost-effective delivery of ancillary operations—including environmental, plant operations, nutritional, security, and general support services—to enhance member satisfaction and retention.</p><p>The position partners with executive leadership to drive strategic planning, safeguards physical facility assets, ensures compliance with regulatory standards, and collaborates on building-lease services and construction/expansion projects.</p><p><br></p><p><strong>Essential Responsibilities</strong></p><ul><li><strong>Talent & Leadership Development:</strong> Recruit, develop, and retain a highly skilled workforce. Foster continuous learning, drive performance management, mentor high-potential employees, and align cross-functional resources with business objectives.</li><li><strong>Operational Oversight:</strong> Translate business strategy into actionable requirements. Manage resource allocation, costs, and forecasting. Address performance gaps, resolve escalated issues, and act as a trusted advisor to executive leadership.</li><li><strong>Facilities & Grounds Maintenance:</strong> Oversee mechanical, energy, waste, space, and emergency management programs. Drive preventative maintenance strategies to ensure clean, safe, and hygienic environments, and manage long-term landscaping and campus upkeep.</li><li><strong>Regulatory Compliance & Waste Management:</strong> Ensure continuous compliance with Title 22, CMS, CDPH, TJC, and other relevant regulatory bodies. Oversee the proper disposal of hazardous, pharmaceutical, and protected health information (PHI) materials.</li><li><strong>Safety & Emergency Preparedness:</strong> Establish standards for facility inspection tours and coordinate emergency drills in alignment with NFPA and Life Safety Codes.</li><li><strong>Budget & Capital Improvement:</strong> Develop budget strategies and metrics for renovation, remodeling, and maintenance projects that reduce costs and improve operational efficiency.</li><li><strong>Technical & Infrastructure Collaboration:</strong> Partner with technical teams to forecast and support critical infrastructure, including HVAC, network installations, and video conferencing systems.</li><li><strong>Vendor & Contract Management:</strong> Establish metrics and strategic direction for evaluating vendor performance against service-level agreements (SLAs), regulatory specifications, and organizational policies.</li></ul><p><br></p><p><strong>Minimum Qualifications</strong></p><ul><li><strong>Education & Experience:</strong> * Bachelor’s degree in Business Administration, Public Health, Engineering, Healthcare Administration, Construction, or a related field <strong>AND</strong> minimum eleven (11) years of experience in facility maintenance/management.</li><li><em>OR</em> Minimum fourteen (14) years of experience in facility maintenance/operations or a directly related field.</li><li><strong>Leadership:</strong> Minimum five (5) years of experience in a leadership role with direct reports.</li><li><strong>Executive & Financial Depth:</strong> * Minimum seven (7) years of experience managing operational or project budgets.</li><li>Minimum three (3) years of experience working directly with executive leadership.</li><li>Minimum three (3) years of experience in financial management, budget development, program development, and project management.</li><li><strong>Regulatory & Safety Expertise:</strong> * Minimum three (3) years of experience applying federal and state healthcare regulations (e.g., TJC-EOC/LS/EM, Title 22, HCAI, CDPH, Cal-OSHA, NFPA 99/101).</li><li>Minimum three (3) years of experience working with Incident Command Centers.</li><li><strong>License:</strong> Valid California Driver’s License is required at hire.</li></ul><p><br></p>
